Volunteer Program Manager

Description:

MedShare engages a thriving volunteer corps of over 22,000 individuals annually in order to fulfill its mission of improving the quality of life of people, communities and our planet by sourcing and directly delivering surplus medical supplies and equipment to communities in need around the world.  The Volunteer Program Manager oversees this program by leading a team of Volunteer Program Associates, supervising volunteers in medical product sorting sessions, completing administrative tasks within the Volunteer Program (i.e. maintenance of the volunteer contact database), and collaborating with other staff to ensure an efficient flow of product to/from the sort room.  The Volunteer Program Manager plays a crucial role in conveying the mission of MedShare to the public through volunteer recruitment and outreach, outreach to hospitals (in-services), and planning of special events.

 

Reports To:
Director of Operations, Western Region

 

Duties & Responsibilities:

  • Manage MedShare’s Volunteer Program department and Volunteer Program staff
  • Have an extensive knowledge of MedShare, its work, and its day-to-day operations.
  • Perform outreach and recruitment for individual and group volunteers.  Represent MedShare at volunteer fairs and other recruitment events.  Manage postings for MedShare’s volunteer opportunities.
  • Maintain a calendar of volunteer activities, ensuring volunteer work sessions are properly staffed.  Keep the MedShare staff apprised of the volunteer calendar.
  • Communicate with MedShare staff to determine volunteer needs of all departments.  Be the primary point of contact for all volunteers.
  • Coordinate with MedShare staff to ensure that volunteer sessions have access to the required resources.
  • Supervise 3-8 large group volunteer sessions per week, wherein medical supplies are sorted and packed.  This includes regular sessions on Saturdays.
  • Perform MedShare orientations for all volunteers.  Perform task-specific training for volunteers.
  • Communicate with groups and individuals interested in volunteering at MedShare.  Respond to volunteer inquiries.  Handle assorted correspondence with MedShare’s volunteers, from pre-session check-in calls to post-session thank-yous and beyond.
  • Develop an understanding of the medical supplies we process.  Perform research as needed on products received as donations.
  • Keep the areas used by MedShare’s volunteers (the Sort Room, Medical Mission store and the Break Room) clean and well-stocked.
  • Maintain a strong relationship between MedShare and other non-profits, particularly those dedicated to the promotion of volunteerism.
  • Monitor and evaluate the effectiveness of volunteer work.  Make improvements as needed to ensure high-quality work as efficiency.
  • Maintain a database of volunteer contact information and volunteer hours.  Ensure that volunteer contact information is entered into the mailing list.
  • Plan and execute volunteer recognition and appreciation events, including a large annual party.  Provide on-going and periodic incentives to encourage volunteers to return to MedShare.
  • Prepare and present ongoing reports on volunteer activities for MedShare’s Board and management.
  • Provide volunteer updates at staff meetings.
  • Plan and perform in-service presentations at partner hospitals to educate hospital staff about the MedShare mission.
  • Work on special projects as needed and other duties as assigned by Director of Operations.
  • Strive to constantly grow and improve the MedShare Volunteer Program

 

Requirements:

  • Required level of education: Bachelor’s degree in the liberal arts, business/nonprofit management, or a medical field (or five years of equivalent work experience).
  • Ability to work flexible schedule including weekdays, evenings and weekends.
  • Previous experience leading volunteer groups required and experience serving in a supervisory role preferred.
  • Excellent communication skills a must, both verbal and written.
  • Passion for community service
  • Lifting requirements (maximum amount of weight): 50 lbs.
  • Must have a friendly disposition and a willingness to interact with diverse groups of people.
  • Hard working, eager to learn, and a self-starter.
  • Basic knowledge of medical products or experience working in a hospital setting a plus.
  • Strong computer skills, especially in web research and Microsoft Office.
  • Experience living or working with diverse groups, international experience, or fluency in a second language strongly preferred.

 

Compensation:

Biomedical Equipment Technician

MedShare seeks a Biomedical Equipment Technician for our Distribution Center in San Leandro, California. The Biomed Tech is primarily responsible for the testing and repair of donated equipment.  The Biomed Tech is also responsible for soliciting equipment donations from hospitals, distributors and manufacturers. We are looking for experienced, professional, reliable and hardworking individuals.

 

Description:

Key duties include evaluation of potential biomedical equipment donations, troubleshooting and repair of equipment, maintenance of workshop and instruction manuals, updating the inventory management database and soliciting equipment donations from hospitals, distributors and manufacturers.

 

Reports To:
Director of Operations, Western Region

 

Duties & Responsibilities

Main duties:

  • Conducts technical evaluation of the equipment
  • Evaluate outside equipment and provide documentation
  • Evaluate technical performance of equipment on arrival
  • Repair, scrap or designate as ready to ship
  • Find and order new parts & accessories
  • Repair existing or other equipment
  • Evaluate outside donor shipments and provide documentation

 

Other duties:

  • Solicit donations of biomedical equipment
  • Develop and maintain relationships with prospective donors such as biomedical technicians at hospitals, clinics, manufacturers, professional associations and other nonprofit organizations
  • Collaborate on development of ideas to market MedShare and increase equipment donations
  • Represent MedShare, as needed, with prospective donors
  • Manage the equipment database
  • Inventory the received items and label correctly
  • Update equipment status in database as needed
  • Add equipment pieces to database without inventory numbers
  • Remove items from database going to trash

 

Biomedical lab

  • Maintain the biomedical lab
  • Track and put away spare parts from donations and scrapped equipment
  • Track and manage the incoming accessories
  • Order and maintain general supplies
  • Keep manuals, tools and other pieces in designated locations
  • Maintain and add to testing equipment
  • Periodically clean and sweep
  • Clean equipment as needed
  • Work on additional projects as needed
  • Answer technical question regarding current or past shipments
  • Find or support equipment located in other countries
  • Research the operation and needs of specialized pieces
  • Other projects and responsibilities as assigned

 

Qualifications

  • 2 – 4 years of experience working with biomedical equipment preferred
  • Associate degree related to the field
  • Lifting requirements (40lbs.)
  • Ability to work effectively in a rapidly changing work environment
  • Good written and verbal communication skills including public speaking, telephone and email
  • International experience in the field preferred but not required
  • Proficiency with other languages such as French or Spanish is preferred but not required
  • Proficiency with various types of computer software including MS Office

Director of Operations: Western Region

Description:

MedShare seeks an experienced Director of Operations to manage all aspects of inventory and movement of medical supplies and equipment donated to and sent from MedShare’s Western Region Distribution Center. The Director of Operations manages the physical office and warehouse space of the Western Region and coordinates inventory tools and procedures for the office. The Director of Operations is also responsible for managing MedShare’s Volunteer activities, the Medteam store and Western Region hospital outreach.

 

Reports to: VP, Finance & Operations

Location: San Leandro, CA

 

Duties & Responsibilities:

Supervise department managers, support staff, interns and highly skilled volunteers in the following areas:

    o Inventory Management

    o Distribution Center

    o Volunteer Programs

    o Transportation

Support achievement of MedShare’s mission through:

    o Coordination of activities of Western region Distribution Center and Western Region Inventory Management for maximum efficiency and quality.

    o Coordination with VP, Finance & Operations and Programs staff on issues regarding product sorting, container preparations, Medteam operations and corporate and hospital relations

    o Coordination of inventory management tools and procedures with the National office

Participate in the maintenance of effective staff recruitment, retention and labor relations policies and procedures

Participate in the annual budgeting process

Work with MedShare staff to review operating policies & procedures, recommend needed changes and lead/participate in implementing changes

Participate in and lead special projects as needed including the documentation and education of Western Region operations procedures and other initiatives to support MedShare’s national growth

Represent the organization as needed in a public relations role

Collaborate with other MedShare locations to establish and implement uniform policy and procedures in both locations

Responsible for Western Region facility maintenance issues

Review and approve relevant invoices

Requirements & Desired Qualifications:

Bachelor’s degree in Operations Management, Business Management, Industrial or Systems Engineering, or related field (or at least 5 years of relevant experience)

5+ years of work experience – preferably including experience working in distribution/logistics environments

Excellent written and verbal communications skills

Proficient computer skills including Microsoft Office applications

5 or more years managing people

Forklift and truck driving experience

Knowledge of warehousing and logistics best practices

Thorough understanding of project management, able to work effectively under pressure to meet tight deadlines & goals

Experience working in culturally-diverse organizations

Passion for community service, international development, and MedShare’s mission.

Experience living/working internationally is highly desirable

Fluency in English is required and basic knowledge of a foreign language (Spanish and/or French) is desired
